Client Care Specialist

About the Role

Brandon Hills Veterinary Clinic is looking for a Client Care Specialist to be the friendly face and voice of the practice. You'll greet clients with warmth, answer phones with care, and book appointments while building genuine relationships with pet owners. Your attention to detail ensures every caller feels heard—whether they're a current client or someone discovering the clinic for the first time.

Beyond front-desk duties, you'll handle a range of administrative tasks: managing mail, drafting correspondence, completing reports, and supporting the team with whatever else keeps the clinic running smoothly. This role thrives on collaboration; you'll work alongside experienced RVTs, veterinary assistants, and client care staff who genuinely support one another.

Brandon offers small-town charm with big-city amenities. You're just an hour from Riding Mountain National Park and 45 minutes from Spruce Woods Provincial Park—perfect for outdoor lovers. Lakes dot the region for summer and winter recreation, and the community itself has a welcoming, tight-knit feel.

Key Responsibilities

• Greet and check in clients with genuine warmth and respect
• Answer incoming calls from current and prospective clients with a courteous, caring approach
• Screen calls appropriately and book appointments efficiently
• Take detailed messages and provide knowledgeable, non-medical information to clients
• Manage incoming and outgoing mail, including sorting, distributing, and posting
• Draft memos and correspondence as needed
• Complete reports and respond to ad-hoc document requests
• Support the broader team with administrative needs

Requirements

• Strong customer service mindset with genuine compassion for pets and their owners
• Excellent communication skills (verbal and written)
• Comfort with multi-tasking in a busy veterinary environment
• Organizational skills and attention to detail
• Legal eligibility to work in Canada
