Client Care Specialist

About the Role

North Waterloo Veterinary Hospital is looking for a Client Care Specialist to be the welcoming face of the practice. You'll build genuine connections with clients and their pets by greeting them warmly, managing incoming calls with care, screening requests thoughtfully, and booking appointments efficiently. Your role extends beyond the front desk — you'll handle administrative tasks including mail management, correspondence, and report preparation, ensuring the practice runs smoothly behind the scenes.

This is a temporary position starting early December 2026 and running through January 2, 2028. The practice is flexible with scheduling and happy to accommodate full-time or part-time arrangements that work for you.

Key Responsibilities

• Greet and check-in clients with warmth and genuine care for their pets
• Answer incoming calls from current and prospective clients with a courteous, compassionate approach
• Screen calls appropriately and book appointments
• Take detailed messages and provide knowledgeable, non-medical information to clients
• Handle administrative office tasks: receiving, sorting, and distributing mail; posting payments
• Draft memos, correspondence, and complete reports as requested
