Client Services Representative

About the Role

Vernon Veterinary Clinic is seeking a Client Services Representative to join the team and become the welcoming first point of contact for pet parents and their furry family members. This is a full-time position in a fast-paced clinic where your ability to juggle multiple tasks, stay calm under pressure, and bring genuine enthusiasm to every interaction will truly shine. You'll be the backbone of clinic operations—managing everything from scheduling to billing while keeping everyone (pets included) happy.

Key Responsibilities

• Answer incoming calls on a multiline phone system and direct inquiries appropriately
• Schedule appointments using the Ezyvet practice management system
• Make outbound calls to pet parents for follow-ups and to book future appointments
• Manage email correspondence and respond to client inquiries
• Handle invoicing, billing, and payment processing; create estimates
• File and organize documents electronically
• Stock shelves and maintain clinic supplies
• Assist with general administrative and housekeeping duties as needed
• Create a warm, welcoming environment for clients and their pets

Requirements

• Positive, enthusiastic, punctual, and responsible attitude with a strong work ethic
• Flexibility and ability to work independently as well as collaboratively with a team
• Proven experience working in a fast-paced environment and multitasking effectively
• Excellent customer service and communication skills
• Strong time management skills and ability to prioritize
• Capacity to remain calm and efficient under pressure
• Ability to follow direction and maintain high performance standards
